Data controller
The controller responsible for processing your personal data under the GDPR is:
- Erbas Ramazan (PROBEX)
- Address: C-Mine 12, 3600 Genk, Belgium
- Email: privacy@tamam.be
- CBE: BE 1009.193.344
Data we collect
We collect the following categories of personal data:
- Account data: email, password hash, name, language preference
- Profile data: company name, KBO number, address, phone, certifications
- Location data: only when you click “Use my location” yourself, your GPS coordinates in order to derive an address from them
- Usage data: pages visited, actions taken, device and browser info, IP address
- Payment data: handled by our payment processor (Stripe); we never store card details
- Communications: messages, support tickets, email interactions
Why we process your data
- To provide and operate the tamam.be marketplace
- To match consumer leads with suitable suppliers
- To comply with legal obligations (KBO verification, taxes, anti-fraud)
- To improve the platform through analytics and research
- To send service announcements and (with consent) marketing communications
Legal bases: contract performance, legitimate interest, legal obligation, and your consent where required.
Automated allocation of requests
When you post a request, an automated calculation determines which tradespeople get to see it. No member of staff is involved. The calculation awards points on eight criteria and adds them up:
- Trade — does the request match what the tradesperson offers (25%)
- Distance between the tradesperson and the address given (20%)
- Reviews of earlier jobs (15%)
- Response speed: how quickly they answered earlier invitations (10%)
- Reliability: what share of accepted jobs was completed (10%)
- Availability: how many invitations are still open right now (10%)
- Aftersales: appointments kept and service reports resolved after delivery (5%)
- Fair rotation: how many requests they received over the past thirty days (5%)
The highest-scoring tradespeople go onto a candidate list of at most fifteen. Five of them are invited at a time; if someone does not respond, the next on the list takes their place. Your request is therefore never with more than five tradespeople at once. We use no data about you as a person, your behaviour or your past purchases — only the request itself and the tradesperson's own data. Your address and contact details stay hidden until a tradesperson opens the request, so the calculation does not share them.
The outcome decides who sees your request, not who gets the job — you choose that yourself from the quotes you receive. If you want to know how the score for your request was reached, or you disagree with it, email legal@tamam.be or submit your objection through our contact point (the “Automated decision” tab): we will explain the calculation and a member of staff will review the decision again.
Voice assistant
If you use the voice assistant, we process what you say in order to turn it into text and answer it. This only happens when you start the assistant yourself.
- Transfer outside the EEA: the recording goes to OpenRouter for transcription and the spoken reply is generated by OpenAI. Both processors are established in the United States.
- We do not keep the audio. Only the written transcript of the conversation is stored.
- That transcript is deleted automatically 30 days after the conversation was last used.
- The assistant only appears if you have consented to it; you can withdraw that consent at any time through your cookie settings.
Location
When filling in an address you can click “Use my location”. Only then does your browser ask for permission and do we send your coordinates once to our server to turn them into a street, postcode and municipality. If you do not click, your location is never requested.
- Purpose: solely to fill in the address fields automatically. We do not track you, build no location history, and do not link the coordinates to your profile.
- Transfer: to obtain an address we pass the coordinates to Nominatim, the search service of the OpenStreetMap Foundation. No name, e-mail address or account data is sent along.
- Retention: the answer is kept in our cache for at most 30 days, with the coordinates as the lookup key, so the same place is not queried repeatedly. The coordinates do not appear in our log files.
- Consent: the button is the consent. You can withdraw it at any time through your browser's location settings, and you can always type the address by hand.
How long we keep data
We keep account data for as long as your account is active and for up to 7 years afterwards, to comply with Belgian accounting and tax law. Audit logs are kept for 2 years; anything touching a payment, quote or dispute follows the 7-year accounting period. Email unsubscribes are kept with no end date: that list exists precisely so we do not contact you again, and clearing it would undo that. We also record your cookie choice on our side: the time, the version of the cookie statement, what you chose, and a random number that is also in the cookie — no IP address and no fingerprint. We keep that record for four years: the duration of the consent plus three years.
Your rights
Under the GDPR you have the following rights:
- Right of access — Request a copy of the personal data we hold about you.
- Rectification — Correct inaccurate or incomplete data.
- Erasure — Request deletion of your account and personal data, subject to legal retention requirements.
- Portability — Receive your data in a structured, machine-readable format.
- Objection — Object to processing based on legitimate interest, including direct marketing.
- Complaint — Lodge a complaint with the Belgian Data Protection Authority (gegevensbeschermingsautoriteit.be).
To exercise any of these rights, contact us at privacy@tamam.be.
Security
We protect your data with encryption in transit (TLS 1.3) and at rest, argon2id password hashing, signed JWTs, role-based access control, and continuous security monitoring. Aligned with ISO 27001 principles.
Changes to this policy
We may update this policy. Material changes will be announced via email or a notice on the site. The 'Last updated' date above always reflects the current version.
