tamam.be β User Manual
Last reviewed: 2026-09-21 Β· Application: tamam.be web application (production)
This manual covers the tamam.be web application. It does not describe any mobile application. Every button, field, tab and status name below is the exact label used in the English interface; if you use tamam.be in another language the same screens appear with translated labels in the same positions.
Screenshots are tracked separately (see Screenshots at the end) because they must be captured from production with dedicated QA accounts.

Part 1 β For customers
1. Creating your account and signing in
Create an account
- Choose Sign up. On Create your account pick I'm looking for help, then Sign up as a customer.
- On Customer sign-up fill in First name, Last name, Email and Password. A password must be at least 8 characters.
- Review and accept the Privacy Policy and Terms. Until you do, the screen says "Review & accept Privacy Policy and Terms to continue".
- Choose Create account.
Verify your email address
After signing up you receive a verification email. Opening its link shows Email verification and then "Email verified! You can now log in."
If the link no longer works you see "Verification failed. The link may be expired or invalid." Enter your email under Send new link and check both your inbox and your spam folder.
Note: if you press "send a new link" twice, only the newest email works. The older links expire the moment a new one is sent.
On Log in enter your Email and Password. Three alternatives are available on the same screen:
- Sign in with a one-time code β you receive a 6-digit code by email, valid for 10 minutes. Choose Use password instead to go back.
- Continue with Google
- Sign in with Apple
If you have two-factor authentication enabled you are then asked for a Verification code from your authenticator app.
Forgotten password
- On the login screen choose Forgot password?
- Enter your email and choose Send reset link. The screen replies "If an account with that email exists, you'll receive a reset link shortly." β this wording is deliberate and does not reveal whether the account exists.
- Open the link, fill in New password and confirm, then choose Reset password.
If the link has expired, choose Request a new reset link.
Signing out and changing language
Sign out is in the navigation menu. The language selector is in the page header; your choice applies to the whole interface.
2. Finding your way around
The customer menu contains:
| Item | What you find there |
|---|---|
| My requests | All your jobs and their status. |
| Insights | Activity on your requests and responses from professionals. |
| Messages | Conversations with professionals. |
| Notifications | Everything that happened while you were away. |
| My account | Your profile, payments and security settings. |
Request statuses
| Status | What it means |
|---|---|
| Draft | Not submitted yet. |
| AI analysing | Our AI is reading your description and photos. |
| Needs review | Something needs checking before the request goes out. |
| Needs clarification | The AI has follow-up questions for you. |
| Ready | Complete and visible to matching professionals. |
| Matched | Professionals have been selected for your request. |
| Offers in | You have received at least one quote. |
| Accepted | You accepted a quote; the job is going ahead. |
| Expired / Cancelled / Abandoned | The request is closed. |
| AI error | The analysis failed. See Troubleshooting. |
If a request shows No location, note the warning: "No professional can see this request until the address resolves." Correct the address to fix it.
3. Creating a request
Choose New request from My requests.
- Short title (optional) β for example "Kitchen outlet sparking".
- Describe the problem β what is broken, where in the house, and how urgent. Between 5 and 5000 characters. This is what the AI uses to estimate a price and route your job to the right trade, so be specific.
- Additional wishes (optional) β things that are not faults, for example "mornings preferred" or "there is a dog in the house". Professionals read these unchanged.
- Photos & video (optional) β up to 8 files; photos up to 10 MB each, video clips up to 100 MB each. More context gives a better estimate. Use Remove to drop a file.
- Service address β Street, Postal code, City, Country. This is where the professional will go. "Professionals only see the postcode and city until you confirm a visit or accept their quote."
- Choose Submit request.
Privacy: before publishing, remove anything from your photos that you do not want a stranger to see β post, letters, screens, or anything showing names or numbers.
Follow-up questions
When the status is Needs clarification your request shows Follow-up questions, numbered "Follow-up question 1/3". Type your answer and choose Submit answer, or choose Skip.
Some answers are pre-filled from your photos; the screen says "Pre-filled from your photos β please check it and adjust where needed." Always check these.
Answers can be changed later with Edit answer, and a skipped question can still be answered with Answer instead. When you finish you see "All questions answered β your request is on its way to the professionals."
The AI estimate
Your request shows an AI analysis with an estimated price, expected work, materials, assumptions and a confidence level.
Important: an AI estimate is not a supplier price. It is, in the application's own words, "an AI estimate based on the description and photos β not an on-site assessment." Only a professional's quote is a real price.
Prepare for the visit
For jobs that always need a professional, your request shows Prepare for the visit, marked Beta: "This job needs a professional. These points help them quote faster and more accurately." It lists Safety first, Photos that help, Clear the access, Ask the professional, Inspections and certificates and Better not touch. If the job may be dangerous, you see only "This may be dangerous" with a Call 112 button β do not wait for a quote.
Withdrawing a request
No longer need the job done? Use Withdraw request on the request.
You are asked to confirm, and the confirmation spells out three consequences:
- "Professionals will no longer be able to respond to this request."
- Any open offers are closed.
- "This cannot be undone β you would have to create a new request."
You may give a Reason, but it is optional.
4. Quotes
Quotes appear under the Quotes tab of your request, under Supplier offers. Until they arrive you see "No supplier offers yet. We'll notify you when they come in."
Reading a quote
Each quote shows Line items, Subtotal, VAT, Total and Valid until. The headline amount on the quote card is what you pay, incl. VAT with the rate; below it a line splits it up, for example "β¬1,000.00 excl. VAT + β¬210.00 VAT".
Each quote also states the professional's capacity:
- Declares they act as a trader β normal consumer protection applies, including the 14-day right of withdrawal.
- This professional declares they are not a trader β Union consumer law does not apply to this quote.
- Has not yet declared whether they act as a trader.
Read this before you accept. It decides what rights you have afterwards.
Comparing quotes
Switch between List and Compare. The comparison puts quotes side by side on Total amount, VAT, Valid until, Reviews, Warranty, Execution date, Payment terms, Labour, Materials and Brand / model, and marks the Lowest price.
What stands out summarises trade-offs, for example "X is β¬200 more expensive, but offers 12 months more warranty". Its disclaimer is worth reading: this compares only what the professionals stated themselves.
The order of professionals is explained under How do we rank?
Accept, decline, or ask for a change
- Request revision β write what should change (a few words minimum) and choose Send request. The quote then shows "You've asked this supplier to revise their offer."
- Decline β the confirmation warns that "Declining is final: the quote cannot be accepted or restored afterwards." If you only want a change, use Request revision instead. Confirm with Decline permanently.
- Accept β the job goes ahead with that professional. Competing quotes are closed automatically and show the status Closed.
Signing the contract
Where a contract is available, use Sign contract. The Contract tab opens as soon as a quote is accepted, so you can follow progress even before the PDF exists:
- Not everyone has signed yet β the tab names who is missing: "You still have to sign the contract." or "The tradesperson still has to sign the contract."
- "Generating" β the document is being produced.
A button labelled Contract (draft) means you are opening an unsigned draft. Contract without the suffix is the signed copy.
Your right of withdrawal
Where it applies you see Right of withdrawal: "You have 14 days to withdraw from this contract, without giving a reason." The panel shows what you get back and what stays with the professional for work already performed.
If you disagree with the stated percentage, choose I disagree with this to open a dispute. Nothing is settled while a dispute is open.
5. Site visits, work, payment and reviews
Site visits
When a professional wants to see the job first, Site visit appears with the reason and proposed times. Choose a time and confirm with Confirm time. The card states the cost, or "This site visit is free."
A visit can be Proposed, Confirmed, Cancelled, Completed or No-show. Cancelling notifies the professional immediately and cannot be undone.
Following the job
After acceptance your request has Work, Payment and Review tabs. A tab marked "This section needs your attention" is waiting on you.
What was installed lists the products fitted, with brand, serial number, warranty and datasheets. Keep this β it is your proof of warranty.
After the job
Use Report something after installation if something does not work as agreed or you need maintenance. tamam.be records the report and puts you in touch with the professional; the warranty relationship stays between you and them.
Leave a Review when the workflow offers it.
Part 2 β For professionals
6. Registering and onboarding
Create your account
On Create your account pick I run a business, then Register your business. You provide your Company name and KBO/BCE number (ten digits, without "BE"), and pick your Specialties. The last two digits of the number are a check on the rest, so a typo is refused already here.
Declare your trader status
You must answer Do you act as a trader? This is a legal requirement (art. VI.44/3 WER) and the customer sees your answer.
- Yes, I work as a business β you are registered with the KBO/BCE. The customer has the 14-day right of withdrawal.
- No, I do not work as a business β your offers state that Union consumer law does not apply.
Until you answer, your quotes carry a notice that you have not declared it.
Complete the four onboarding steps
Supplier Onboarding has four steps; your work saves automatically ("Saved automatically").
- Company info β Company name, KBO/BCE number, VAT number
(with country code, e.g.
BE 0740.901.341), Phone, Website, Description. - Service areas β Street, Postal code, City, Country, Service radius (1β500 km), and Categories. There is a maximum; the counter shows "3 / 5 selected". Pick only what you actually do β your primary category counts most.
- Documents β upload Insurance, ID card, KBO extract or Other, as PDF, JPG or PNG. At least one document is required to submit.
- Review & submit β check everything, then Submit profile.
Review states
Your profile shows Pending verification, Pending documents, Under review, Active, Rejected or Suspended. A message from the reviewer appears under Message from our review.
If your profile is Suspended or Rejected, fix what the reviewer asks β for example upload the missing documents β and use Submit profile in step 4 again to send it back for review. Fields that lock after approval stay locked.
What locks after approval
Once approved, some fields are fixed: "Locked after approval. Contact support to change this." Your specialties lock too, because they decide which requests you see.
To change them anyway, use the request links in the interface:
- Is this list no longer right? Request a change β for specialties, on your Profile. Tick the categories you want to work in.
- Is this number wrong? Request a correction β for your VAT number.
Both ask for a Reason and are reviewed by an administrator. While pending you see that your change request is under review, with the date you submitted it.
Your VAT number
tamam.be checks your VAT number against the EU database and shows the verdict: Valid in the EU database, This number is not in the EU database. Invoices cannot be sent with it, or We could not check this number just now. The last one still saves the number.
7. Finding your way around
| Item | What you find there |
|---|---|
| Dashboard | Overview and quick actions. |
| Leads | Requests in your categories. |
| Pricing | Your rates and material catalogue. |
| Offers | Everything you have quoted. |
| Messages | Conversations with customers. |
| Analytics | Your offers, win rate and decision time. |
| Notifications, Billing, Onboarding, Profile, My account, Security | Settings and admin. |
Under Account holder you keep the name of the person behind the business. That belongs to your account, not to your company.
8. Leads and privacy
Leads shows requests in your categories. As the page puts it: "Available" means: nobody has been invited yet, you may still be. "Not invited" means: already matched to other suppliers.
On a lead you cannot quote on, the offer form tells you why before you start typing: the request "has not been matched to suppliers yet" (wait β you may still be invited), "You were not invited to this request", or the request is closed. A draft you already started stays available.
Filter with All, Ready, Matched and Offers, and switch between List and Map. Not every lead has a known location β the map says how many are shown out of the total.
What is hidden, and why
A lead you have not unlocked shows Address locked and "Unlock it to see the full description and clarifications. The street appears after a confirmed visit or an accepted quote." The map shows an approximate location only.
Unlocking gives you the job details and clarifications, but the address stays at postcode and city. The street appears only once the customer has confirmed a site visit with you or accepted your quote.
Choose Unlock β the button states the cost in credits, which is not always the same. After unlocking you see your new balance. If you are short, the screen says "Not enough credits. Buy credits to unlock." and offers Buy credits.
Customer contact details β name, phone, email β appear only after the customer accepts your quote. The page states the reason: "Visible because this customer accepted your quote."
Reading a lead
Tabs are Overview, AI Analysis, Offers and Media. The AI analysis gives a Diagnosis, Possible cause and Urgency (Can wait, Within days, Within 24 hours, Emergency), with the disclaimer that it is an estimate, not an on-site assessment.
Clarification Q&A shows the customer's answers; some may be Skipped or Not answered yet. Additional wishes are the customer's own words.
Use Message customer to ask something before quoting.
9. Rates and quoting
Set your rates first
Rates & materials feeds the AI that drafts your quotes. Set Hourly rate, Callout fee, Travel rate per km, Free radius (km), Minimum charge (hours), Material margin (%), Emergency surcharge (%) and Weekend surcharge (%).
Choose your default VAT rate:
- 21% β standard rate
- 6% β home older than 10 years
- 0% β reverse charge
You can override it per quote. At 6%, your invoice must carry the statement the application shows you β read that notice.
Add often-used materials to the Material catalogue with Add material: Name, Unit, Unit price, Brand, Model, Specification, Warranty (months). Finish with Save and complete; the screen confirms "Rates saved and completed β you now receive personalised quotes!"
Quote statuses
| Status | What it means |
|---|---|
| AI draft | Drafted from your rates; not sent. |
| Draft | Yours, not yet sent. "The customer cannot see it yet." |
| Submitted | Sent. "The customer has received your offer and still has to decide." |
| Revision requested | "The customer asked for a change. Adjust your offer and send it again." |
| Revised | Your changed version is with the customer. |
| Accepted | You won the job. |
| Declined | The customer declined. That quote is closed; while the request is still open, you can send a new one. |
| Expired | Past its validity date; it can no longer be accepted. |
| Closed | Another professional won. |
Filter your Offers with All, Awaiting reply, My jobs, Not won and Drafts.
Proposing a site visit
Under Site visit, choose Site visit needed when you cannot judge a job remotely. You must have submitted an offer first β otherwise the panel says so and offers Go to offers.
Give a reason the customer will read, an Expected duration, and several
Proposed times (there is a minimum and a maximum; all must be in the future).
Optionally state the Cost of the visit β leave it empty if you are not saying
yet, or enter 0 to promise it is free. Then Send proposal.
Afterwards close the visit out with Completed or No-show.
Recording what you installed
What you installed is the customer's project file. Use Add product and record at least the name; brand, serial number, warranty and a datasheet make it useful. The customer needs this for warranty claims.
10. Billing and payouts
Billing & credits shows your Current balance in credits and lets you buy more under Buy credits. History lists every transaction.
To receive payouts, connect your bank under Bank account β Connect bank account. When Stripe setup is finished you see "Stripe setup complete β you can now receive payouts." If it is incomplete, the banner asks you to Complete setup.
Invoices are under Invoices β Download. If a PDF is not ready yet the screen says "PDF not available yet."
Part 3 β Troubleshooting
| Problem | What to do |
|---|---|
| The verification link says it is invalid | Only the newest link works. Request a new one under Send new link and use the most recent email. Check your spam folder. |
| "If an account with that email existsβ¦" | This wording appears whether or not the account exists. If no email arrives, check spam, then confirm which address you registered with. |
| I cannot find the right category | Customers: describe the job in your own words; the AI routes it. Professionals: use Request a change on your specialties. |
| My request shows "No location" | The address could not be resolved, and no professional can see the request. Correct Street, Postal code and City. |
| A photo or document will not upload | Photos: max 10 MB each. Videos: max 100 MB each. Maximum 8 files. Documents must be PDF, JPG or PNG. |
| Status stays "AI analysing" or shows "AI error" | The analysis failed or is still running. Reload the request. If AI error persists, contact support with the request reference shown on screen. |
| The AI wrote in the wrong language | Report it via support with the request reference. |
| I see no leads | Check that your profile is Active, that your Categories cover the work, and that your Service radius reaches the area. |
| My offer will not send | Every required line item and a validity date must be filled in. Correct the highlighted fields first. |
| I cannot propose a site visit | You must have submitted an offer on that request, and the request must still be open. |
| Notifications or messages are not arriving | Check Notifications in the application first, then the email address on your account. |
| Site visit problems | A conflict message means an active visit already exists for that request β cancel it first. |
Contacting support
Include the reference code shown on the screen where the problem happened, your role (customer or professional), and what you expected to see. Never send your password or a payment card number.
Privacy boundaries β the short version
- A professional sees only an approximate map location until they unlock the lead with a credit, and only the postcode and city until the customer confirms a site visit with them or accepts their quote.
- Customer contact details become visible only after the customer accepts that professional's quote.
- Additional wishes are passed on to professionals word for word.
- Under Data & privacy you can Export your data as JSON, or Delete account β deletion only happens after you confirm by email, and that link expires in 1 hour.
Still to be done on this manual
These items cannot be completed from the source text alone:
- Screenshots from production, captured with dedicated QA accounts, cropped or redacted so no real customer name, email address, phone number, exact address, credential, business identifier or private document appears.
- A walkthrough by a second person following this manual as a new customer and as a new professional, confirming the instructions work.
- Dutch and French versions, reviewed in the corresponding interface language β not machine-translated.
- A link from the Help Center to this manual.
